To start out, I wanted Hayleigh to share her story. She started out as a virtual assistant because she had been traveling the world for three years with her partner. But then her partner was transitioning into coaching people how to become freelancers, and he helped her start out as a virtual assistant. Pretty soon, she found me – her “dream client” – right when she was considering opening up her virtual assistance agency. After about six months working with me, Hayleigh started transitioning to working as my OBM, which is a natural transition from being a virtual assistant after you’ve had a certain level of experience working with businesses. Then you can start to do that top-down work.
Now, I know it seems like finding the perfect OBM or the perfect virtual assistant is really hard to do and it can be in the beginning. When I was originally searching for someone, we went through several people, and I mostly blame my mindset. At the time, I was looking at a virtual assistant as a kind of “task rabbit,” even though I hate that term. I thought I just needed someone to do things, but that was a non-growth mindset. Instead, if I was going to actually have a multiple six-figure or seven-figure business, I needed to start acting like it and hiring people who wanted to grow with the company.
But when I finally got into calls with three good candidates – including Hayleigh – I went into them with the mindset that I was going to hire based on how well this person fit into the company’s culture. I considered questions like:
And I realized that was more important to me than hiring someone just because they could “do” specific tasks. After all, we’re constantly changing in our business, so I would rather have someone who is a quick learner and loves to learn. Hayleigh checked all of those boxes and I felt in my gut that she was a good choice, but I felt even more sure once I heard how excited Hayleigh was about our company and the direction we wanted to go in.
So often, people forget the importance of personality and the vibe you feel when you’re hiring someone. When you’re in the hiring process, you’ll often find virtual assistants who check eight out of ten boxes you want. And instead of looking for that ten out of ten, look for somebody who checks most of the boxes and also has the motivation to grow with you and your business.

I also always recommend creating an environment where your virtual assistant can ask as many questions as possible because you want them to learn and you want them to do their work right. When Hayleigh started with me, we established an open communication and a set of expectations. Because Hayleigh has her own agency of incredible virtual assistants, we wanted to make sure even those people were really excited too.
I’ll never forget one of the first launches that we did together. Hayleigh was so excited about it, and that made me excited. And one really valuable part of our partnership is that Hayleigh doesn’t just get the things done that I need done. She was also checking in on me during the launch, asking, “How are you doing? Are you taking care of yourself? What else do you need?” Knowing that you have someone who you can lean on during those times makes a HUGE difference.
Keep in mind that having an OBM or a virtual assistant is essentially like having a business bestie. It’s somebody that you’re working on your business with, and community and support is so important when you’re an entrepreneur, especially because loneliness is a common obstacle. So strive to find an OBM who understands the vision and the purpose and the bigger mission behind your business.

Another tip to help you hire your first VA? Join my Six Figure Level Mastermind. You do have to apply. And I really can’t thank Hayleigh enough, not only for the work she does for the Megan Yelaney team but also for those really kind words. I think one of the reasons we’ve connected so deeply and been able to do so much is that we both aren’t just about income. We’re also always asking, “What does that income allow you to do?”
One last thing I wanted to mention, too, was not only did we grow our income by five times in the last year since we hired Hayleigh, but we also created so many new products. To close up this episode, it’s important to recommend that you focus less on perfection and more on growth. When you’re working with VA, don’t get bogged down by little mistakes. Because the real growth will happen when you’re open to mistakes and things not being an emergency all the time. Also remember that you’re the captain of your ship. You set the pace and you guide your VA on how you want them to show up in your business, how you want them to work, and what pace you want them to work at. And if they can’t rise up to that pace, it’s time to replace them.
However, you also need to set a realistic timeline. If you’re really excited about a new idea and want it done now, you also need to take responsibility for the fact that you’re throwing something at your team. So give them 24 hours to get it done, for instance. And a lot of times, especially when you’re just starting out with a VA, you’re typically only hiring them for 20 to 30 hours per month. So you have to be aware that your VA most likely has several other clients and keep that in mind when assigning tasks.
On a related note, it’s SUPER important for you to create systems and processes for your business and instructions that can be used over and over again. Otherwise, if you lose a team member or get someone new, you can deal with a lot of confusion or things won’t get done like you want them to. And I love the fact that Hayleigh is also very intentional about hiring people with different skill sets who have different walks of life. They get a job that’s more flexible due to its online context…and the more I outsource, the more I get closer to feeling like I can dedicate all of my time to the areas in my business where I feel the most passionate and motivated.
And if you’re not feeling passionate and motivated in your business all the time, that’s a big red flag that it’s time to get more help!
